Shared mailboxes, team inboxes, delegation and real-time collaboration in AiMail.

Shared mailboxes

A shared mailbox (like support@ or sales@) gives a group of teammates one inbox. Everyone sees the same threads, assignment makes ownership explicit, and collision detection warns when two people reply to the same message.

Assignment

Route each conversation to a specific owner with status tracking.

Internal notes

Discuss a thread privately with teammates — notes are never sent to the customer.

Collision detection

Live presence shows who is viewing or replying to a thread right now.

Setting up a team inbox

    Create the shared mailbox

    An admin creates it in the Admin Console under Email → Shared Mailboxes.

    Add members and roles

    Members can read and reply; managers can also assign and configure rules.

    Configure routing

    Optional auto-assignment by round-robin, workload or AI-detected topic.

Send-as and delegation

Send-as aliases let you send from alternate addresses you own. Delegation grants another user access to read or send from your mailbox without sharing your password — common for executive assistants. Both are managed under Settings → Identities.
